Procedures for Dealing with Infectious Diseases

1) For School-Designated Infectious Diseases

In the event that an individual contracts, or is suspected to have contracted, a “school-designated infectious disease,” that individual will be prohibited from coming to school pursuant to the School Health and Safety Act and Ordinance for Enforcement of the School Health and Safety Act, in order to prevent the spread of infection. If you are diagnosed with such a disease, please submit an application via Microsoft Forms. If you are diagnosed with COVID-19, contact the office at your affiliated School or Graduate School (or CIEC, if you are an international student at KGU through a student exchange agreement, or a short-term international student at KGU through a CIEC-operated program; the same applies hereinafter) by phone.

When your doctor judges you fit to attend school again, please ask him/her to complete the following “School Attendance Permission Certificate for Students with a School-Designated Infectious Disease” and be sure to submit it to the office at your affiliated School or Graduate School (CIEC) when you come to school.

*If you are diagnosed with COVID-19, please obtain a Notification of Release of Employment Restrictions from a public health center or other institution (the name may vary by municipality).

* A “school-designated infectious disease” is any one of the above, as prescribed in Article 18 of the Ordinance for Enforcement of the School Health and Safety Act.

2) For Temporary Prohibitions on Coming to School in Response to COVID-19

If you fall under the prerequisite conditions for not being allowed to attend school due to measures being taken against COVID-19 infections, make an application via Microsoft Forms. You will be granted academic consideration as outlined in (2.) below. If you are diagnosed with COVID-19, follow the directions for dealing with school-designated infectious diseases, as listed in (1) above.

*These treatment guidelines may change in the event of any change in the treatment of COVID-19 as a school-designated infectious disease, or in the treatment of infected individuals who have mild or no symptoms.

Academic Consideration for Absences Due to COVID-19 Vaccinations

Although absences due to COVID-19 vaccinations do not come under the above-listed "Prohibitions on Coming to School," they are subject to the same academic consideration as "Prohibitions on Coming to School."
* If you exhibit symptoms after getting vaccinated, this comes under "Prohibitions on Coming to School," so please follow the procedures for "Prohibitions on Coming to School."
Generally, the period during which absences are subject to academic consideration is three days after getting vaccinated (including the day of vaccination).
In addition, as part of the procedure for receiving academic consideration, please present proof of vaccination to each faculty member in charge of your classes (submitting proof is not necessary).
Note that the procedures for receiving academic consideration may differ depending on the class, so follow the instructions of the faculty members in charge of your classes.

Monitoring Your Health While You Are Prohibited from Coming to School

Remain at home while you are prohibited from coming to school, and use the  Questionnaire on Health Conditions  to take notes on your condition.

Lifting of Prohibitions on School Attendance

After the duration of your prohibition on school attendance has ended, please submit the applicable document from the three documents below to your affiliated School or Graduate School Office (or CIEC) as a substitute for the School Attendance Permission Certificate for Students with a School-Designated Infectious Disease.

(1)   Report on Cold-Like Symptoms

 ●Reason for being prohibited from coming to school:

  1. 1) Those with a fever and/or cold symptoms
  2. 5) Students with family members who have a fever and/or cold symptoms

*A checkup at a medical institution is not mandatory

(2)    Notice of Completion of Health Monitoring After Return

 ●Reason for being prohibited from coming to school:

2) Those who have returned to Japan or entered Japan from overseas

*Must attach evidence of return date/entry date

(3)   Notice of Completion of Health Monitoring for Close Contact with an Infected Individual

 ●Reason for being prohibited from coming to school:

  1. 3) Those who have been ordered to remain at home by a public health center or other facility as they have been in close contact with an infected person
  2. 4) Students who were notified by the contact-tracing app COCOA that they were in close contact with an infected person
  3. 6) Students with family members who have been subject to PCR testing
  4. 7) Students who were in contact with an infected person during the infectious period, and who are considered to have been in close contact, based on their own judgment

What to Do If Your Symptoms Get Worse

If you see that your symptoms have gotten worse during your prohibition on school attendance, contact your family doctor or the local consultation center, and follow their instructions. If you are diagnosed with COVID-19, follow the directions in (1) above.

2.  Academic Consideration

1) If classes, exams, or intensive seminars were missed:

Classes

Submit documents to your affiliated School or Graduate School office (or CIEC) before the last day of the relevant semester. The office at your affiliated School or Graduate School (or CIEC) will contact your instructors and request consideration for the following matters.

  1. (1) Excused absences from class
  2. (2) In-class written work during period of absence
  3. (3) Tests during period of absence
  4. (4) Questions on class content and handouts

Note that if documents are not received, you will not receive academic consideration, as it will not be possible to confirm how long you were prohibited from coming to school.

Exams

Submit documents to your affiliated School or Graduate School office (or CIEC) before the deadline for applying for makeup exams.Makeup exams will be permitted (1) without a reduced score, and (2) with the examination fee waived, as long as the makeup examination application has been submitted along with a medical certificate from a doctor and has been approved by the affiliated school or graduate school.

Furthermore, in the event that you are not able to come to school by the application deadline, applications for makeup examinations will be accepted by phone. However, makeup exam application documents must be submitted by the makeup exam date.

Intensive seminars

Submit documents to your affiliated School or Graduate School office (or CIEC) before the last day of the intensive seminar. If you contact the office at your affiliated school or graduate school (or CIEC) and submit a medical certificate from a doctor, in principle, you will be permitted to withdraw from classes. However, withdrawal will not be permitted for classes where alternative arrangements can be made, such as in practicum subjects where dates can be altered through consultation.

2) If you are unable to attend class for 14 days or more

Contact your affiliated School or Graduate School (CIEC), as well as the Health Care Center (Health Care Center Office), by phone.
